We are seeking an Office Manager to help fuel Qualia's rapid growth. The Office Manager will oversee the day to day operations of the San Francisco office. The ideal candidate for this role is an effective communicator, has an authentic passion for helping people and a client-centric mentality, is flexible and adaptable to change, and is proficient at juggling and prioritizing a wide variety of tasks. You'll be responsible for ensuring that the San Francisco office is fully equipped with supplies, work closely with our vendors to foster good relations and ensure service levels meet our expectations, and work closely with the entire People team to assist with ongoing and future office initiatives.


  • Serve as the first point of contact for employee and vendor needs relative to the San Francisco office
  • Coordinate with property management and other property and office-related vendors to ensure a safe and well-maintained work environment, process related work orders, and ensure follow-up
  • Order, organize, and inventory office supplies, snack foods, catered lunches, and beverages, and oversee kitchen stocking
  • Create and document sustainable office operations and procedures for a quickly growing company
  • Research, propose, and implement green office initiatives to reduce waste and support environmental sustainability
  • Greet and assist visitors and interview candidates as needed
  • Provide support to the IT team to help ensure all office technology assets work smoothly
  • Partner with the People Operations team with company sponsored group activities, in-office perks, employee appreciation events, holiday parties, and team meetings
  • Support in employee onboarding and offboarding processes in collaboration with the People Operations and IT teams
  • Manage and prioritize multiple projects simultaneously, and follow up to close issues in a timely manner
  • Prepare the office and the larger team for return-to-work after COVID, including sharing video walk-throughs of the new office space, showing how spacing will work in a post-pandemic world where COVID is on-going


  • Prior successful experience in office management, facilities management, customer success, event management, or as an administrative assistant preferred
  • Demonstrated ability to build and maintain positive relationships internally and externally
  • Strong organizational, process creation, and planning skills
  • Strong attention to detail, with ability to see how details map to larger company objectives
  • Excellent written and verbal communication skills
  • Demonstrated ability to successfully multitask and prioritize, while taking direction from more than one person
  • Positive and cheerful demeanor
  • Bachelor's degree is preferred
